JOB SUMMARY:
The HR Coordinator – Data Entry role will perform a variety of clerical tasks in support of the human resource function.
DUTIES/RESPONSIBILITIES:
- Collect all new hire’s complete employee files, including remote locations
- Ensure employees complete and sign necessary documents in the onboarding platform; this may take several follow ups
- Ensure all employee documents/files have been collected, based on the HR/Recruiting’s internal communication
- Complete E-Verify process
- Ensure E-Verify DHS Tentative No confirmation are followed up with employee and complete further action steps; if unable to verify employment, notify your supervisor to gather next steps
- Ensure all data entry aligns with employee’s information, including employees designated entity information
- Gather complete employee file and hand to payroll to complete the final “QC”
- Act as a liaison with the employee managers and provide them with EEID’s within 24-48hrs after date of hire
- File I9 documents into designated binder
- Remove terminated I9 documents from “Active” I9 binder into “Term” I9 binder
- Compile employee folder and file into the correct filing cabinet
- Conduct monthly termination I9 Audits
- Maintain compliance with all company policies and procedures
- Be a team player and ensure all tasks are completed accurately and in timely manner
- Maintain and develop logs as needed

REQUIRED SKILLS/ABILITIES:
- Performs work under direct supervision
- Handles basic issues and problems
- Refers more complex issues to higher-level staff
- Possesses beginning to working knowledge of subject matter
- Excellent organizational skills and attention to detail
- Proficient in Microsoft Office Suite (especially Excel), as well as other accounting software programs
- Ability to operate related office equipment, such as computers, 10-key calculators, and copiers
- Ability to work independently and in a fast-paced environment
- Flexibility to work under time constraints and meet deadlines
EDUCATION AND EXPERIENCE:
- Associate degree or equivalent work experience; required
- 1-2 years of related experience in a highly regulated industry
- Experience in Travel arrangements, Calendaring, Excel, Data Entry, and/or Administrative Assistant Background; required
- State Law requires that applicants be 21 years old and over
- Experience in a legal cannabis market is highly; preferred
